Cancellation Policy.

The Customer (hereafter named “you” or “your”) and Absorb Iceland ehf., registered at Rosarimi 1, 112 Reykjavik, Iceland, with CRN 691221-0400 and VAT no. 143439 (hereafter named “Absorb Iceland”, “we”, “our” or “us”), agree to enter into the following:

The last update to our Cancellation Policy is valid for bookings made on or after March 1, 2022.

Overview

This Cancellation Policy may be amended from time to time and applies to all of our services.

By accessing, browsing, using, and/or completing a reservation through our website www.absorbiceland.is you acknowledge and agree to have read, understood, and agreed to the cancellation policy as set out below. The customer making the booking accepts these conditions on behalf of all members of their travel party and is responsible for payment due from the party in its entirety.

All communications relating to this cancellation policy (in particular any requests to cancel or amend your tour arrangements) must be sent to Absorb Iceland by the lead traveler of each reservation to be valid. Once delivered, the amendment and/or cancellation needs to be confirmed by Absorb Iceland before further action can be taken.

If reimbursement is in order, then it shall be made following all procedures and processed as quickly as possible, and the stipulated amount will be transferred to the same credit card used upon booking. Please note that we cannot be responsible for delays in the delivery of the reimbursement to your account once it has been processed on our end, or additional transaction fees or currency conversion fees of the reimbursement to your account once it has been processed by us.

For tours purchased through resellers, booking agents, and travel agencies, please reach out to them directly with your refund and/or cancellation request.

1. Cancellation fees for private and customized tours

1.1. All tour reservations must be fully paid to be confirmed. A non-refundable 10% cancellation fee of the total amount will be charged to cover the direct cost of the booking. As we start to incur costs from the moment the booking is confirmed, we will apply cancellation charges as shown below from the time we receive written notification of the cancellation:

  • A minimum of 72 hours’ notice of cancellation before the scheduled start of your reservation is required for a 90% refund. This also applies to tours canceled by Absorb Iceland due to safety reasons or force majeure events.

  • If you cancel between 72 and 48 hours before the scheduled start of your tour, you will receive a 50% refund. This also applies to bookings made between 72 and 48 hours prior to tour departure.

  • If cancellation is made less than 48 hours before the scheduled start of your tour, no refund will be given. This also applies to bookings made less than 48 hours prior to tour departure.

  • A cancellation fee of 10%, held by Absorb Iceland, is intended to cover our direct costs of amending and/or canceling your reservation. We will always try to reschedule you for a new tour departure, wherever possible.

  • No refund will be provided if a client does not show up for their reservation.

  • Activities operated by third-party operators and added to services operated by Absorb Iceland are subject to the cancellation policy of the third-party operator.

1.2. To cancel your reservation, please send an email to contact [at] absorbiceland.is. Note that cancellation requests sent through other channels will not be honored under the cancellation policy. If you made your reservation through a third party, other cancellation policies may apply. Please contact the relevant third party for more information.

1.3. If you need to make changes to your reservation, please contact Absorb Iceland and provide your booking number. All changes or alterations must be made in writing and sent to contact [at] absorbiceland.is. Absorb Iceland must approve any requested changes in writing. Please note that changes to reservations are subject to availability, and any extra costs incurred will be charged to the customer. Cancellation of any tour, product, or service included in a reservation will not be considered a change under this section and will be governed by the applicable cancellation terms.

1.4. Refunds will be issued to the card that was used to purchase our services or to the card used for booking. The refunded amount will be the same as the amount paid in ISK, minus a 10% cancellation fee. Please allow several days for the refund to appear on your bank statement.

2. Cancellation made by Absorb Iceland of private and customized tours

2.1. We may need to cancel your tour due to weather or other localized effects which stop the tour from going ahead. This is always for your and our guides’ safety. Cancellations due to weather can happen at any time, including on the morning of your tour or during the tour itself. We will make every effort to provide alternative arrangements without additional cost and endeavor to reschedule your tour or offer a viable alternative as the first action in all cancellation scenarios. If we cannot work out a suitable alternative, you are entitled to a full refund.

3. Cancellation made by you of extra bookable activities

3.1. Extra bookable activities operated by our partners and rental gear reservations, booked as part of private or customized tours operated by Absorb Iceland, are subject to the partners‘ cancellation policy. Information on their terms can be provided in writing. Please contact Absorb Iceland for further information.

3.2. Bookings of all private tours operated by Absorb Iceland allow you to defer or reschedule your tour to a later date. This is of course only possible with sufficient notice for us to avoid any charges by our partners for extra bookable activities that are included in your tour. For most bookings, this would be possible with 3 or more days’ notice before your planned travel dates. If you are traveling in or as part of a larger group (more than 4 people) we have a bit less flexibility with moving reservations or avoiding cancellation fees from our partners. Please contact Absorb Iceland to get advice as to what we can do in your situation. We will always work to achieve the best solution for everybody.
